Position Description and Responsibilities

LINC is seeking an Administrative Assistant to provide administrative, financial and operational support to our Washington, DC office and our team of international development professionals.

Financial and Program Support:

  •  Maintains all administrative systems, including a consistent filing system for all project materials and corporate financial documents
  • Helps coordinate procurement needs, such as project goods, services, and supplies; maintains and tracks inventories
  • Reviews and prepares vendor and consultant invoices, payments, reimbursements and other documentation for internal approvals
  • Coordinates staff and consultant expense reporting
  • Tracks consultant time, effort, and expenses
  • Assist with project financial matters, including coordinating subcontractors’ invoices, and financial reporting, as required

 Office Management, Human Resources and Logistics:

  • Responsible for day-to-day office maintenance and management tasks
  • Managing utilities, phone, internet contracts etc. as necessary
  • Supports Human Resources related documentation and filing, and coordinates communication with external HR service providers
  • Posting and maintaining LINC job openings; promoting jobs on external recruitment platforms
  • Maintaining and creating promotional content for our social media platforms, including Twitter, LinkedIn etc.
  • Organizing external meetings, including reserving meeting spaces and assisting project technical staff in arranging travel, hotel accommodations, and visa expediting for all project-related travel

Skills and Qualifications

  • Bachelor’s degree in finance/accounting, business management or equivalent
  • Minimum 2-3 years’ experience with administration
  • Experience supporting donor-funded projects
  • Excellent organizational skills, attention to detail and multi-tasking skills
  • Ability to communicate clearly and effectively, both orally and in writing
